We are currently seeking an Administrative Assistant for our 1st shift Monday-Friday at our Kearny Mesa location in San Diego, CA.

What does the job involve?

The Administrative Assistant provides high-level administrative support and duties for senior staff of the company to ensure the efficient operation of the office. Supports management through a variety of responsibilities related to organization and communication. Responsible for confidential and time-sensitive material. Familiar with a variety of the company’s concepts, practices, and procedures. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered promptly with high quality.

What will my responsibilities include?

  • Welcomes and directs visitors, clients, and vendors, as appropriate.
  • Provides support and verifies all visitors following ITAR compliance standards.
  • Compiles correspondence, reports, memoranda, special projects, and related material to support staff.
  • Schedules and coordinates meetings and appointments which may include meals, travel, and lodging arrangements.
  • Prepares agendas and schedules for meetings.
  • Composes letters and memoranda from dictation, verbal direction, or knowledge of company policy or procedures.
  • Receives/handles and transfers phone calls and messages within the company promptly and courteously.
  • Files documents following standard procedures.
  • Maintains company phone directory.
  • Maintains office and main conference room supplies and coordinates maintenance of office equipment.
  • Ensures operation of office equipment by calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Records and distributes minutes or other records for meetings.
  • Performs general accounting clerical duties as requested, which may include data entry filing, recordkeeping, and other administrative functions.
  • Demonstrates excellent verbal and written communication skills.
  • Displays excellent interpersonal and customer service skills.
  • Collects information needed by staff for meetings and reports.
  • Retrieves information as requested from records, emails, minutes, and other related documents.
  • Prepares written summaries of data when needed.

What key skills and experience do I need?

  • Excellent written communication skills including editing and proofreading.
  • Proficiency in Microsoft Office.
  • Excellent Typing Skills and telephone skills and etiquette.
  • Skilled at composing letters/memorandum, coordinating events/meetings, and maintaining filing systems.
  • Ability to communicate with all levels & functions of the organization, both orally and in writing.
  • Keen attention to detail, accuracy, and ability to multitask.
  • Able to work as part of a team and/or work independently and reliably.
  • Ability to display professionalism, resourcefulness, and anticipates needs.

 What qualifications should I have?

Education:

  • Associate degree or equivalent, Bachelor’s degree in related field is preferred.

Experience:

  • 3-5 years in an administrative role. Experience in the aerospace or industrial industry is highly desirable.
